Most teams don't have one AI collaboration problem — they have five, running in parallel. The product manager's assistant knows the roadmap; the support lead's assistant knows the ticket history; nobody's assistant knows both. Every new hire starts from zero, every handoff means re-explaining context that already exists somewhere, and "ask the AI" only works if the AI in question actually has access to the relevant project.
The AI tools built for team collaboration try to close that gap in different ways — some by turning a shared workspace into a permanent shared memory, some by layering AI on top of docs and tasks teams already keep, some by indexing everything across a company's existing tools. This guide compares seven of them on three dimensions that actually matter once more than one person is involved: how deep the shared context goes beyond a single conversation, how granular the permission controls are once the team grows past a handful of people, and how well institutional knowledge survives someone leaving or a new person joining. Noumi is one of them, but the goal here is picking the right fit for how your team actually works, not just the tool with the most features.
1. Notion — Best for Teams Already Living in a Shared Docs Workspace
Notion has spent years becoming the default place teams keep documentation, wikis, and project tracking in one workspace, and its AI layer builds directly on that existing structure rather than introducing a separate tool. For teams whose collaboration already happens inside Notion pages and databases, adding AI on top is a smaller lift than adopting something new.
Key Features:
- AI-powered search and question answering across every connected page, database, and document in the workspace
- Private teamspaces that scope specific projects to a defined group of members rather than the whole company
- Notion Agent can draft pages, populate databases, and follow multi-step instructions inside existing workspace structure
- 90-day page history and granular sharing controls on higher-tier plans
Pricing:
- Plus: $10/member/month (billed annually) — unlimited content, limited AI access
- Business: $20/member/month (billed annually) — full AI access, private teamspaces, SSO
- Enterprise: custom pricing — advanced security, compliance, and audit controls
Best For:
- Teams that already run documentation, wikis, and project tracking inside Notion
- Organizations that want docs, databases, and AI search bundled into one workspace
- Teams comfortable paying for AI as a per-seat add-on layered onto an existing tool
2. Noumi — Best for Shared Project Memory and Granular Team Permissions
Noumi is built around the idea that a shared workspace should mean a shared memory, not just shared access to the same login. Team Projects give every invited member the same workspace and the same project memory, so the context one person built up over weeks — decisions made, files uploaded, prior work completed — is immediately available to the next person who opens that Project, rather than living only in their individual chat history.
Key Features:
- Team Projects give multiple users a shared workspace and shared project memory, so collaboration happens on top of the same context instead of siloed individual threads
- Permissions are managed at the user and user-group level for both Projects and Skills, so admins decide exactly who can access which work and run which capabilities
- A shared knowledge base lets Owners and Admins publish a file library the whole team can read, while personal files stay under individual permission settings
- Light Systems let a team turn a recurring workflow — a tracker, a dashboard, an intake form — into a working internal app without opening a separate engineering ticket
Pricing:
- Starter: $20/month, free for the first month — 1,200 points/month, 1 Light System
- Pro: $100/month — 6,000 points/month, 5 Light Systems, unlimited persistent memory
- Team: custom pricing — everything in Pro plus multiple seats, a shared workspace, shared team memory and skills, and an admin dashboard with access controls
Best For:
- Teams that want a new or returning member to inherit existing project context instead of starting over
- Organizations that need to control who can see which Projects and run which Skills without manually policing individual settings
- Teams that want their shared AI workspace to also produce the internal tools they need day to day
3. Slack — Best for Teams Whose Collaboration Already Happens in Chat
Slack built its AI features directly into the channel-and-thread structure teams already use for daily communication, focused on catching people up rather than storing long-term project context. For teams whose real-time collaboration already lives in Slack, its summarization tools solve a narrower but very real problem: too many unread threads.
Key Features:
- AI-generated channel and thread summaries that catch returning or new teammates up on a conversation quickly
- Huddles and canvases for lightweight collaborative documents alongside ongoing chat
- Enterprise Search surfaces past messages and files across Slack and connected apps
- Deep integrations with calendars, file storage, and task tools teams already rely on
Pricing:
- Pro: $7.25/user/month (billed annually) — unlimited message history, basic AI summaries
- Business+: $15/user/month (billed annually) — full AI features bundled in, advanced identity management
- Enterprise+: custom pricing — advanced compliance and security controls
Best For:
- Teams whose day-to-day collaboration happens primarily in real-time chat
- Organizations willing to pay for AI as a plan-tier upgrade rather than a small line-item add-on
- Teams that need faster catch-up on conversations more than persistent project memory
4. ClickUp — Best for Teams That Manage Work as Tasks First
ClickUp layers its Brain AI directly onto the tasks, docs, and goals teams already track inside the platform, aimed at teams whose collaboration is organized around a project management structure rather than freeform chat or docs.
Key Features:
- AI chat that can answer questions and draft content using context from tasks, docs, and comments across a workspace
- Automated status updates and standup summaries pulled from actual task activity
- Autopilot Agents that handle repetitive workflow steps like status changes or notifications
- Unified tasks, docs, and goals in a single workspace rather than separate tools
Pricing:
- Unlimited: $7/user/month (billed annually) — core project management features
- Brain AI add-on: $9/user/month (billed annually) — AI chat, summaries, and Autopilot Agents
- Everything AI add-on: $28/user/month (billed annually) — premium models and expanded AI credits
Best For:
- Teams that manage most collaborative work as tasks and want AI layered directly on top
- Organizations that prefer AI priced as a clearly scoped add-on rather than bundled into a plan tier
- Teams that want automated status reporting more than a general knowledge base
5. Microsoft 365 Copilot — Best for Teams Standardized on Microsoft 365
Microsoft 365 Copilot extends AI across the Microsoft ecosystem teams already use for email, documents, and meetings, drawing on an organization's existing Microsoft Graph permissions so results respect whatever access controls are already in place.
Key Features:
- Drafts and summarizes content across Word, Excel, and Teams meetings using existing organizational files
- Meeting recap in Teams with action items pulled directly from the conversation
- Org-wide semantic index that scopes results to a user's existing file and folder permissions automatically
- Copilot agents that can be configured for specific recurring business processes
Pricing:
- Copilot for Microsoft 365 (Business): around $21/user/month, available for tenants on a qualifying Microsoft 365 Business plan with up to 300 users
- Copilot for Microsoft 365 (Enterprise): around $30/user/month, requires an Enterprise base license
- Base Microsoft 365 license priced and purchased separately, required before Copilot can be added
Best For:
- Organizations already standardized on Microsoft 365 for email, documents, and meetings
- Larger teams that need AI output automatically scoped to existing file and folder permissions
- Companies with budget for a premium add-on layered on top of an existing enterprise license
6. Glean — Best for Large Organizations With Knowledge Scattered Across Tools
Glean connects to dozens of a company's existing tools — docs, chat, tickets, code — and indexes them into a single searchable layer, respecting each source's native permissions so a person only ever sees answers built from content they'd already have access to.
Key Features:
- Enterprise search connecting docs, chat, tickets, and code across dozens of integrations
- AI answers cite the original source, which matters for teams that need to verify information
- Permissions are inherited from each connected source rather than reset in a new system
- Internal AI agents can be built on top of Glean's indexed knowledge for specific workflows
Pricing:
- Enterprise: typically starts around $50–75/user/month
- Minimum contracts are commonly around 100 seats
- Custom enterprise agreements available for larger deployments
Best For:
- Large organizations with knowledge spread across many disconnected tools
- Companies that need cited sources for compliance or audit reasons
- Teams with the budget and headcount to clear Glean's enterprise contract minimums
7. Guru — Best for Fixing Outdated or Scattered Documentation
Guru focuses on a narrower problem than a general collaboration workspace: keeping a team's actual knowledge base accurate. Verified knowledge cards and expiration reminders are built to solve the specific pain of documentation that quietly goes stale while everyone keeps referencing it anyway.
Key Features:
- Verified knowledge cards with expiration reminders so answers stay current
- AI search across the knowledge base and connected apps like Slack
- Browser extension that surfaces verified answers inline wherever a team already works
- Trust scoring that flags outdated or unverified content before someone relies on it
Pricing:
- All-in-One: around $15/user/month (billed annually) — AI search, wiki, and standard integrations
- Enterprise: custom pricing — advanced admin controls and verification workflows
Best For:
- Teams whose main collaboration problem is outdated or scattered internal documentation
- Support and customer-facing teams that need verified answers surfaced inside their existing tools
- Organizations that want a dedicated knowledge base rather than a full general-purpose workspace
Common Mistakes When Choosing an AI Tool for Team Collaboration
Assuming "shared" automatically means "shared visibility"
A shared AI workspace and a shared login are not the same thing, and conflating them leads teams to either lock everything down out of caution or open everything up out of convenience. Before rolling a tool out company-wide, it's worth getting clear on what a shared AI workspace is actually supposed to mean for your team versus what it sounds like it means.
Treating onboarding as a one-time setup cost
Most teams evaluate these tools by how easy they are to set up for the first few people, then discover the real cost shows up every time someone new joins and has to be brought up to speed manually. A tool's onboarding story matters as much as its initial setup — worth checking how it actually handles bringing a new team member up to speed before committing to one for the long haul.
Underestimating what granular permissions actually require
"Permission management" sounds like a checkbox until a team scales past ten people and someone in finance can suddenly see engineering's project files. The tools on this list vary widely in how deep their permission controls actually go, and it's worth understanding what to actually look for in a tool's permission management before assuming any of them handle it the way you need.
Picking based on brand recognition instead of context depth
Notion and Slack are more recognizable names than several tools on this list, which leads some teams to default to them without checking whether they actually solve the shared-memory problem or just the shared-chat problem. The right fit depends on what your team's collaboration actually looks like day to day, not which name is most familiar.
Every tool on this list solves some part of the team collaboration problem — better search, faster summaries, tidier documentation. Fewer of them solve the part that compounds over time: whether the context your team builds up actually stays with the team. Noumi is built around exactly that — shared Team Projects, shared memory, and permissions granular enough to trust with the whole company, not just the first five people who signed up.
